This notice explains how personal data are used when you visit the ENTICE website, contact the project or subscribe to its newsletter.

Who is responsible?

The Institute of Communication and Computer Systems (ICCS / ΕΠΙΣΕΥ), through its EPU team, is the controller for the website, Contact form and newsletter. For privacy enquiries or requests concerning your data, email contact@enticeproject.eu.

Contact enquiries

We process the name, email address, subject and message you provide, together with the language and your choice to receive a copy. We retain a receipt reference, submission time, delivery status and attempt history so that the team can manage the enquiry and investigate delivery problems. A receipt confirms that your request was received, not that an email has necessarily been delivered.

This processing serves our legitimate interest in responding to enquiries and managing project communications. Please do not include sensitive personal information or information about other people unless it is necessary for your enquiry. Contacting us does not subscribe you to the newsletter.

Newsletter

If you choose to subscribe, we process your email address and the Organisation Type selected in the form to send ENTICE electronic communications and understand the audience of the project. We also retain the language, consent-notice version, receipt reference, submission time and delivery status. The lawful basis for the subscription is your consent. The form uses single opt-in: submitting it requests a subscription without a separate confirmation email.

We use MailerLite to manage the mailing list and deliver newsletters. You can unsubscribe using the link in any newsletter or contact us at the address above. Withdrawal does not affect processing that was lawful before withdrawal. After withdrawal, we stop sending newsletters; the provider may retain a minimal unsubscribe or suppression record to prevent further unwanted messages. See MailerLite’s privacy notice.

Cookies and external content

Necessary cookies or browser storage support website operation, security and your consent preferences. These are distinct from optional services. You can review and change optional choices through Cookie settings in the footer.

YouTube embeds load only when you allow that service, either for the requested content or through your saved preferences. Loading an embed sends data such as your IP address and browser information to Google/YouTube and may involve their cookies or storage. Microsoft Clarity is an optional analytics service used to understand website interactions; it is not described as guaranteed anonymous. It is enabled only with the relevant consent. You can withdraw optional consent through Cookie settings.

The newsletter form uses first-party abuse controls, including a hidden honeypot, a signed minimum-fill time, submission limits and duplicate-receipt protection. It does not load Google reCAPTCHA or MailerLite’s embedded form scripts.

Hosting, access and service providers

Access to project submissions and emails is restricted to the authorised EPU team. Hosting and email infrastructure are provided through IPHost. MailerLite processes newsletter data; Google/YouTube and Microsoft may process data when their optional services are enabled. Provider access is limited to the services they supply, rather than permission to publish your submissions.

Some service providers may process data outside the European Economic Area. The applicable processing locations and transfer arrangements depend on the provider and service. Their privacy information is available from MailerLite, Google and Microsoft. We do not claim that all processing takes place exclusively in the EEA.

How long are data retained?

Contact and newsletter receipts, related delivery records, project emails and the EPU team’s own manually created backups are retained until the project is manually closed. The team then carries out deletion in the relevant systems. Closing or clearing the website’s submission register does not itself erase mailbox messages, MailerLite subscribers or backup copies; those require separate deletion steps. You may request earlier deletion, subject to any applicable need or obligation to retain particular records.

IPHost has confirmed that the hosting package includes daily backups with a rolling retention of seven days. Deletion from the live system therefore does not immediately remove data from every provider backup; retained copies expire through that rotation.

Server access logs may contain IP addresses, request times, requested URLs and browser information. They are used for operation, security and troubleshooting. IPHost has confirmed that archived access logs are currently retained without automatic deletion. No fixed automatic retention period is currently configured for those archives; the seven-day backup retention does not apply to them. Requests concerning these logs can be sent to the contact address above.

Your rights

Depending on the processing and applicable conditions, you may request access, correction, erasure, restriction or portability of your data, and object to processing based on legitimate interests. You can withdraw consent to newsletters or optional services at any time. Contact contact@enticeproject.eu; we may need proportionate information to verify a request.

You also have the right to complain to a competent supervisory authority, including the Hellenic Data Protection Authority. These rights are subject to the conditions and exceptions of the applicable data-protection law.

Changes to this notice

We update this notice when the website’s processing changes. The date above identifies the current version.
